AI Use & Transparency Notice

HiveXP.ai uses artificial intelligence as a core part of our training platform. This notice explains what AI does within the service, what it does not do, and how we ensure responsible use in accordance with the EU AI Act.

1. How We Use AI

HiveXP.ai integrates AI systems to enhance the training and learning experience. Specifically, AI is used for:

Content Generation & Adaptation

AI assists in generating training lesson content, adapting existing materials, and creating educational resources tailored to specific skills and industries. All AI-generated content is produced for educational purposes.

Personalised Learning Paths

AI analyses your skill progress, completion patterns, and learning preferences to recommend relevant training modules and suggest optimal learning sequences.

Interactive AI Tutoring

You may interact with AI-powered tutoring features that provide explanations, answer questions, and guide you through training materials. When you interact with these features, you are communicating with an AI system, not a human.

Impact Assessment & ROI Analysis

AI assists in analysing training impact data and generating ROI estimates. These are indicative calculations to support organisational decision-making, not guaranteed financial projections.

Content Curation

AI helps curate and recommend articles, research, and resources from the intelligence feed based on skill relevance and user interests.

2. What AI Does NOT Do

We are committed to responsible AI deployment. The following are explicit boundaries on how AI is used within HiveXP.ai:

  • No Employment Decisions: AI is never used to make, recommend, or influence decisions about hiring, firing, promotion, demotion, compensation, or any other employment action.
  • No Behavioural Profiling: AI does not conduct psychological profiling, personality assessment, emotion recognition, or behavioural scoring of users.
  • No Employee Surveillance: AI does not monitor employee behaviour, keystrokes, communications, or activities beyond direct interactions with the training platform.
  • No Automated Decision-Making with Legal Effects: AI does not make decisions that produce legal effects or similarly significant effects on individuals, as defined under GDPR Article 22.
  • No Biometric Processing: AI does not process biometric data of any kind.
  • No Third-Party Model Training: User interaction data and content are not shared with or used to train third-party AI models.

3. EU AI Act Classification

Under the European Union Artificial Intelligence Act (Regulation (EU) 2024/1689), HiveXP.ai classifies its AI systems as limited-risk AI systems.

This classification is based on the following:

  • The AI systems are used for educational content generation and personalisation
  • Users interact with AI in a tutoring/training context with clear disclosure
  • The AI does not fall within the high-risk categories defined in Annex III of the AI Act (which includes AI used in employment, worker management, and access to education in a discriminatory or gatekeeping capacity)
  • No prohibited AI practices (Article 5) are employed

As a limited-risk AI system, our primary obligation is transparency — which this notice fulfils. We clearly identify where AI is being used and ensure users understand they are interacting with an AI system.

If HiveXP.ai’s AI capabilities evolve to touch high-risk categories in future, we will conduct a conformity assessment and implement all required obligations under the AI Act before deployment.

4. AI Output Limitations

AI-generated content within HiveXP.ai:

  • May contain inaccuracies. AI systems can produce incorrect, incomplete, or outdated information. Always verify critical information from authoritative sources.
  • Is educational, not advisory. Outputs are designed to build understanding and capability, not to serve as professional advice in any field.
  • Requires human judgement. Users should apply their own critical thinking and professional expertise when using concepts from AI-generated training.
  • Is not guaranteed. We do not warrant the accuracy, completeness, or fitness for any particular purpose of AI-generated content.

5. Human Oversight

We maintain human oversight of AI systems through:

  • Editorial review of AI-generated training curricula before publication
  • Human-defined skill trees and learning frameworks that AI operates within
  • Administrator controls that allow Client organisations to configure and restrict AI features
  • Regular auditing of AI outputs for quality, bias, and appropriateness
  • Feedback mechanisms for users to report issues with AI-generated content

6. Data & AI Interactions

When you interact with AI features:

  • Your inputs are processed to generate relevant responses within the platform
  • Interaction data is retained for the duration of your subscription and used to improve your experience
  • Data is processed in accordance with our Privacy Policy
  • AI processing uses the Anthropic Claude API under a commercial agreement that prohibits use of input/output data for model training

7. Where AI Disclosures Appear

In addition to this notice, you will see AI disclosures:

  • During onboarding and account creation
  • At the point of interaction with AI tutoring features
  • Within any AI-powered chat or conversational interface
  • In the platform footer and help documentation
