AI Literacy & Responsible Use

HiveXP.ai exists to build AI literacy and capability across organisations. This statement outlines our principles for responsible AI deployment and the shared responsibilities between HiveXP.ai and the organisations and individuals we serve.

1. Our Mission & the EU AI Act

Article 4 of the EU AI Act (Regulation (EU) 2024/1689) establishes a positive obligation for AI literacy — that providers and deployers of AI systems shall take measures to ensure a sufficient level of AI literacy among their staff and users.

HiveXP.ai is purpose-built to fulfil this obligation. Our platform provides structured, accessible AI literacy training that helps organisations and their employees understand, evaluate, and responsibly use AI technologies in the workplace.

We believe AI literacy is not a one-time compliance exercise but an ongoing capability that organisations must build and maintain. HiveXP.ai provides the tools and framework to make this practical and measurable.

2. Our Principles

Transparency

We clearly disclose where and how AI is used within our platform. Users always know when they are interacting with an AI system. We do not disguise AI-generated content as human-authored. Our AI Use & Transparency Notice provides full details.

Human Oversight

AI within HiveXP.ai operates under human-defined frameworks. Training curricula, skill trees, and learning paths are designed by humans. AI enhances delivery and personalisation but does not replace human educational design or professional judgement.

No Harmful Use

We do not use AI for surveillance, manipulation, social scoring, subliminal influence, or exploitation of vulnerabilities. We do not deploy any AI practices prohibited under Article 5 of the EU AI Act.

Fairness & Non-Discrimination

We design our AI features to serve all users equitably. We monitor for bias in content generation and learning recommendations. We do not use AI to discriminate based on protected characteristics.

Data Minimisation

We collect and process only the data necessary to deliver effective training experiences. We do not harvest interaction data beyond what is required for service delivery and improvement.

Continuous Improvement

We regularly review our AI systems for quality, accuracy, bias, and compliance. We update our practices as standards, regulations, and best practices evolve.

3. Shared Responsibility

Responsible use of AI in training is a shared responsibility between HiveXP.ai, the subscribing organisation, and the individual user.

HiveXP.ai’s Responsibilities

  • Provide a secure, transparent, and privacy-respecting platform
  • Clearly disclose AI use and maintain transparency notices
  • Ensure AI systems operate within defined boundaries (no HR decisions, no profiling)
  • Maintain human oversight of AI-generated content
  • Comply with applicable EU and Irish law, including GDPR and the EU AI Act
  • Provide mechanisms for feedback and issue reporting

Client Organisation’s Responsibilities

  • Inform employees that the training platform uses AI (where not already disclosed through the platform)
  • Ensure that training outcomes from HiveXP.ai are not used as the sole basis for employment decisions
  • Review and approve any custom content uploaded to the platform for accuracy, appropriateness, and intellectual property compliance
  • Comply with data protection obligations as Data Controller for employee data
  • Use the platform in accordance with the Terms of Service

Individual User’s Responsibilities

  • Use AI features for their intended educational purpose
  • Apply critical thinking to AI-generated content and outputs
  • Do not rely on AI outputs as professional advice
  • Report any concerning, inaccurate, or biased AI outputs
  • Do not attempt to manipulate AI systems to generate harmful, misleading, or inappropriate content

4. What AI Literacy Means at HiveXP.ai

We define AI literacy as the ability to:

  • Understand — Know what AI is, how it works at a conceptual level, and where it is being used
  • Evaluate — Critically assess AI outputs, recognise limitations, and identify potential biases
  • Apply — Use AI tools effectively and responsibly in the workplace
  • Govern — Understand the ethical, legal, and organisational implications of AI adoption

Our training modules are designed to develop all four dimensions of AI literacy, progressing from foundational understanding to advanced application and governance.

5. Reporting & Feedback

We actively encourage feedback on our AI systems. If you encounter:

  • Inaccurate or misleading AI-generated content
  • Potentially biased outputs
  • Any use of AI that does not align with the principles stated here
